Privacy Policy
How we handle the personal information of job seekers, employers and website visitors.
1. About this policy
This Privacy Policy explains how Staff-Recruit Canada ("we", "us") collects, uses, discloses and protects personal information through this website (staffrecruitcanada.com) and in providing recruitment and staffing services. We follow the principles of accountability, consent, limited collection and use, accuracy, safeguards, openness and individual access. These principles underlie Canadian private-sector privacy law.
Depending on where we operate and where you live, our handling of personal information may be governed by the federal Personal Information Protection and Electronic Documents Act (PIPEDA), or by substantially similar provincial laws in Alberta, British Columbia and Quebec. The Office of the Privacy Commissioner of Canada explains which laws may apply (opens in a new tab).
2. Who is responsible for your information
We have designated a person responsible for our compliance with this policy. You can contact them with questions, requests or complaints:
Privacy Officer, Staff-Recruit Canada
Email: use our contact form and select "Privacy or personal information request"
3. Information we collect
Information you give us
- Job seekers and applicants: your name, email address, phone number (optional), city and province or territory, target occupation, experience and work preferences, your answer about legal entitlement to work in Canada (job applications only), your resume and any message or cover letter. Please don't include your Social Insurance Number, date of birth, photo, health information or banking details. We don't need them to assess your application.
- Employers: your name, business email, company name, phone number (optional) and the details of the role you want to fill.
- General enquiries: your name, email address, enquiry type and message.
Information collected automatically
- Server logs: our web server records technical information such as IP address, browser type, the pages requested and the date and time. We use it to operate and secure the website, for example to prevent spam and abuse through rate limiting. It is kept for a limited period.
- Analytics: we do not currently use website analytics. If we introduce analytics, we will use a privacy-focused, cookieless service and update this policy.
- Cookies: this website does not use advertising or tracking cookies. See our Cookie Policy.
4. Why we collect and how we use information
- To assess candidates' suitability for specific vacancies and, with consent, for future roles
- To contact candidates about roles, screening conversations and next steps
- To respond to employer staffing requests and deliver recruitment services
- To answer enquiries and privacy requests
- To operate, secure and improve the website and prevent fraud and abuse
- To meet legal and regulatory obligations
We collect only the information reasonably needed for these purposes. We don't use automated decision-making to accept or reject candidates without human review.
5. Consent
When you submit a form, we ask for your consent to use your information for the purpose described on that form. Separate, optional consents, such as keeping your resume on file for future opportunities or receiving hiring insights by email, are never pre-selected. You can withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us. Withdrawing consent may mean we can no longer consider you for roles.
We send commercial electronic messages only with your consent, and every message includes a way to unsubscribe.
6. How we share information
- With prospective employers: we share a candidate's resume and details with an employer only for a specific role that the candidate has agreed to be put forward for.
- With service providers: we use trusted providers for website hosting, email delivery and, where configured, a recruitment database or customer relationship management system. They may access personal information only to provide services to us and must protect it.
- For legal reasons: where required or permitted by law, for example in response to a lawful request from authorities.
We do not sell personal information.
7. Where information is stored
Your information is stored by us and our service providers in the locations used by our hosting and service providers. Information stored outside your province or outside Canada may be subject to the laws of that jurisdiction.
8. How long we keep information
We keep personal information only as long as it is needed for the purposes described in this policy, or as required by law.
- Candidate submissions and applications: up to 12 months after your last interaction with us, unless you ask us to delete them sooner, or a longer period is required by law or for an active recruitment process. If you didn't agree to us keeping your resume on file, we use it only for the role or submission concerned.
- Employer enquiries: for as long as needed to respond and, if we work together, for the duration of the business relationship and any legal retention period.
- General enquiries: as long as needed to respond and for a reasonable period afterwards.
When information is no longer needed, we delete it securely or anonymize it.
9. How we protect information
We use safeguards appropriate to the sensitivity of the information. These include encrypted connections (HTTPS), access restricted to authorized staff, password-protected administrative access, storing uploaded resumes outside the public website, file-type verification, and secure deletion. No method of transmission or storage is completely secure. If a privacy breach creates a real risk of significant harm, we will notify affected individuals and regulators as required by law.
10. Your rights and choices
You may ask to access the personal information we hold about you, to correct it if it's inaccurate, to withdraw consent or to have it deleted, subject to legal limits. Contact us using the details in section 2. We may need to verify your identity, and we will respond within the time required by applicable law.
If you're not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, where applicable, the provincial privacy regulator in Alberta, British Columbia or Quebec.
11. Children
This website is intended for adults and for young people of legal working age who are seeking employment. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this policy to reflect changes in our practices or the law. The "Last updated" date at the top shows when it was last revised.
